Before race day

Read the invitation all the way through.

01Confirm the athlete’s invitation, response, and any coach-provided lineup instructions.
02Check the meeting place and team arrival time. The posted first-run time is not necessarily when athletes or volunteers should arrive.
03Confirm transportation both ways. If using a different travel plan, follow the current school and coach approval instructions.
04Complete any current organizer registration or waiver named in the event message.
05Pack gear, layers, food, water, and any pass or issued item required for that event.

At the hill

Follow the coach’s event plan.

Race days can include check-in, course inspection, warmup, and volunteer briefings before the first run. Ask where the team is gathering, keep an eye on updated messages, and allow time for weather or course changes.

Families helping with the event should use the assigned role, arrival time, and briefing from the current signup or organizer. See the volunteer guide for an orientation.

Leaving the event

Make the return plan clear.

Before an athlete leaves by a route different from the team plan, follow the current coach and school instructions and tell the designated team adult directly. Do not rely on an assumption that someone saw a message.
